Traffic Committee Meetings - COVID Safe Protocols

Voting and Non-voting Members

Voting and Non-voting Members are those people that regularly attend Willoughby Council Traffic Committee meetings including Councillors, Council officers, NSW Police, TfNSW, representatives of local members, bus operators and representative of the Federation of Progress Associations. 

First preference would be that members attend virtually if possible.

If this is not possible then face-to-face attendance is acceptable subject to the following protocols.

  • Attendance should be confirmed by a member before a meeting
  • Members will not to attend if unwell (even if symptoms are mild) if a close contact of a COVID case or at high risk of having COVID.
  • While QR Codes are no longer required,  Council will obtain / keep contact details (email / phone) so that a member can be contacted in the event a COVID case linked to the site and/or meeting. The Traffic Committee  minutes will have an attendance list and the period of time a member was at the meeting will be recorded.
  • Council officers are vaccinated to comply with NSW requirements.
  • Members that are not Council officers are encouraged to be vaccinated to comply with NSW requirements.
  • Members that are not vaccinated to comply with NSW requirements must wear a mask at all times whilst in the Council Administration Building including during a meeting.
  • While meeting room capacity limits have been removed, meeting participants still need to space out at least 1.5 metres apart. If this is not possible in the Banksia Room then another room will be considered.
  • Where spacing of at least 1.5 metres cannot be achieved and another meeting room is not available use of face masks will be encouraged.
  • Face masks are no longer required, however, members are able to wear masks for their own protection.
  • Members are encouraged to bring a face mask to the meeting.
  • A box of disposable face masks will be available
  • Should a member attend a meeting that, in the opinion of the Chair, have COVID like symptoms, the Chair has the right to ask this person to put on a mask, and encourage them to leave, providing help and support if necessary
  • Hand sanitiser and disinfectant wipes will be available in the Banksia Room.
  • If a COVID case was linked to a meeting then Council will complete a risk assessment and advise participants.

Visitors

To minimise the safety risks associated with COVID 19, attendance by all visitors will be virtually. The meetings are operated using Teams meeting software and a link will be sent to a visitor. 

COVID safe protocols for visitors are applied to protect the health and safety of voting and non-voting members, visitors and those working and visiting Council’s Administrative office in Chatswood. Visitors are residents, business owners and other interested people with an interest in attending and presenting at a Traffic Committee meeting on a specific matter.
